This privacy policy explains how ai.doo ("we", "us", "our") collects, uses, and protects information when you use our website at aidoo.biz, our mobile applications available on the Google Play Store, and our products (including PIKA and VERA). We are trading as ai.doo and are subject to the Isle of Man Data Protection Act 2018 (which provides protections equivalent to the UK GDPR and EU GDPR).
We have designed our website and products with privacy in mind. We do not run advertising trackers or sign-up forms that collect personal data. We use a single, privacy-respecting, self-hosted analytics platform (described in section 2) to understand which pages are visited.
Our web server automatically records standard access logs when you visit aidoo.biz. These logs may include:
We use Umami, a privacy-respecting, self-hosted analytics platform, to
understand which pages are visited and how visitors arrive. Umami runs on our own
infrastructure at analytics.aidoo.biz. It does not use cookies, does not track
visitors across sites, and does not collect personal data. IP addresses are used only to
derive an approximate country and are then discarded; no individual visitor profile is
stored. We do not use Google Analytics, advertising trackers, or any third-party data
processor for analytics.
This website self-hosts its font files (Inter). No requests are made to Google Fonts or any other external font provider. There are no third-party data touch points on this site beyond the chat widget described below.
PIKA and VERA are self-hosted applications designed to run entirely within your own infrastructure. Data you enter — including documents, queries, and OCR results — is processed on your own systems. ai.doo does not receive, store, or have access to that data.
Both products use local AI models via Ollama. No data is sent to external AI services unless you explicitly configure a cloud endpoint.
The chat widget on aidoo.biz uses OpenAI's API (gpt-4o-mini model) to answer questions about our products. When you send a message through the chat widget:
OpenAI's data handling is governed by their privacy policy. The chat widget is only used on the marketing site — it is completely separate from the self-hosted PIKA and VERA products.
The promo game demo at aidoo.biz/play/pour/ gives each visit a random name, such as "Brave Heron". At the end of a game, your score goes on that week's board with that name. The board stores four things: which venue you played, the name, the score and the week. It does not store your IP address, a device or browser ID, or the time you played. Your IP address is held in memory for up to a minute so the board can turn away too many scores at once, and is never written down. You can't choose or type a name, so nothing you enter is stored. Your browser remembers the name in its own storage on your device, so you keep it if you play again; it is the only thing kept there, and tapping "Change" replaces it. It never leaves your device except as the name beside your score. The board keeps one score per name each week, the best. It is emptied each Monday (UTC), when the old week's scores are deleted.
This website does not set any cookies. No tracking cookies, session cookies, or third-party cookies are used.
Server access logs are used solely for security monitoring and troubleshooting purposes. We do not sell, share, or otherwise disclose log data to third parties, except where required by law.
Server access logs are retained for approximately 90 days, after which they are automatically deleted.

PIKA and VERA use centralised user accounts managed through the ai.doo Hub. An administrator can disable or delete user accounts from the Hub admin panel. To request deletion of your account or associated data, contact your organisation's administrator or email hello@aidoo.biz.
